Plan samples, inspection and reorder consistency

A useful sample approval records exactly what was accepted. Match the sample to the specification, packaging and instructions, then use that approved reference to define the production inspection.

Before requesting the sample

State the model, configuration, logo or color needs, destination and evaluation goals. Confirm sample price, shipping cost, dispatch date and any future credit in writing. A sample dispatch date is different from its arrival date.

Record measurable checks

  • Furniture: dimensions, weight, frame joints, stability and agreed load test.
  • Coolers: liner, closure, leakage, capacity and a documented insulation test method.
  • Lights and appliances: controls, charging, runtime conditions, instructions and required documents.
  • Packaging: carton pack, protective material, barcode readability and transport handling.

Agree inspection scope

Specify the inspection stage, sample size, critical/major/minor defect definitions and acceptance criteria with your supplier or inspection provider. The contract should address failed inspections, rework, payment release and shipping approval.

Make the reorder repeatable

Keep sample photographs, the approved specification version, packaging artwork and a list of permitted component changes. Ask for notice before substitutions and keep a documented process for complaint evidence and corrective action.
